50% Increase in Accommodation Bookings for Disrupted Passengers

Challenges

A leading provider in Airline Crew Accommodation sourcing, negotiations, and contracting was running into the limits of a manual, fragmented process for handling accommodations for disrupted passengers, and it was showing up in both operational inefficiencies and rising costs. Long queues and dissatisfied customers were becoming routine, the result of manual booking calls that simply couldn’t keep pace with demand. Frequent errors crept in from a lack of real-time hotel inventory and room availability data, and passenger refunds were getting delayed by prolonged processing. There was no centralized system for tracking accommodation availability, no structured contracts with accommodation providers to lock in standard charges, and no invoice-based confirmations to keep communication aligned between stakeholders. Peak times only made things worse, driving up expenses and complicating no-show passenger tracking further. The company needed a platform that could bring order, speed, and cost control to a process that had outgrown its manual roots.

Solution

  • A Scalable Accommodation Management Platform

Ascendion partnered with the client to build and scale a robust accommodation management platform, starting with an MVP developed and launched to address the client’s key booking challenges under tight deadlines.

  • From MVP to a Full-Featured Solution

The MVP was enhanced into a full solution with a smart booking algorithm in DPAX, enabling faster, more optimized decisions, along with multiple booking connectors integrated with leading third-party hotel availability APIs. A Pax Self-Service app gave passengers and agents the ability to manage bookings independently, cutting down on airline support costs, while the platform was further enhanced to manage full flight disruptions with automated room allocation for large passenger groups. A new procurement platform centralized hotel data, managed RFPs, and improved contract visibility and negotiations, and invoice-based confirmations were introduced to streamline communication and reconciliation between users.
